Depending on how you interact with me, I may collect and process the following information.

Coaching information: During the course of coaching, you may choose to share information that is relevant to your circumstances and the support you are seeking. This may include information about: Your goals and aspirations. Your personal circumstances.Your family circumstances. Challenges you are experiencing. Your work or business.

Your coaching progress. Information relevant to the support you are seeking. Neurodiversity and wellbeing information.

 

As a neurodiversity, business and family coach, clients may sometimes choose to share information relating to neurodivergence, health, wellbeing or other personal circumstances. I will only collect and retain information that is reasonably necessary for me to provide my coaching services and support you appropriately. 

 

Communication information: I may keep records of communications between us, including emails and information relating to appointments or bookings.Payment and transaction information: Payments are currently made by bank transfer. 

 

I may retain records of payments and transactions where necessary for accounting, tax and business administration purposes. I do not collect or store payment card details. 4. How I Collect Your Information

I may collect personal information when you: Contact me by email, telephone or through my website. Enquire about coaching or other services. Book a coaching session, programme, workshop or event. Complete a form or questionnaire. Take part in coaching. Subscribe to receive updates or information from me. Attend a workshop, group session or event. Interact with my website or social media pages. Most of the information I hold about you will be provided directly by you. In some circumstances, information may be provided by another person. For example, where family coaching has been arranged or where someone has contacted me on your behalf.

5. How I Use Your Information:

 

I may use your personal information to: Respond to your enquiries. Arrange and manage coaching sessions. Provide coaching and related services. Understand your needs and tailor coaching appropriately. Communicate with you about appointments. Send Google Calendar invitations for coaching sessions. Process and record payments. Keep appropriate coaching and business records. Provide workshops, group coaching and events. Send information or updates where you have requested or agreed to receive them. Improve my services and website. Meet legal, regulatory or safeguarding responsibilities. Protect my business, clients and others where necessary. I will only use your personal information for appropriate purposes and where I have a lawful reason to do so.

Depending on the circumstances, I may process your information because: Contract: I need to use your information to provide the coaching or other service you have requested or booked. Some information shared during coaching may be particularly personal or sensitive. Under UK data protection law, certain information, including information relating to a person's health, may be treated as special category personal data and requires additional protection. As part of my coaching services, you may voluntarily share information relating to neurodivergence, health, wellbeing or other personal circumstances. I will treat this information with particular care and will only process information that is relevant and reasonably necessary for providing my coaching services, meeting safeguarding responsibilities or complying with legal requirements. Where required, I will take appropriate steps to ensure that an appropriate legal basis and condition for processing this information is in place.

8. Coaching Notes

 

During coaching sessions, I may make brief notes to support the coaching process and help me provide continuity between sessions. Coaching notes are kept on my reMarkable digital notebook. These notes are not uploaded by me to cloud storage and are kept separately from my online systems. I aim to keep coaching notes relevant, proportionate and limited to information that is necessary for the coaching relationship.

9. Confidentiality and Sharing Your Information

 

I respect the confidentiality of information shared with me.I will not normally share your personal information with other people or organisations without your knowledge or permission. However, there may be circumstances where I need to share information, including: Where you have permitted me to do so. Where there is a safeguarding concern.Where there is a serious risk of harm to you or someone else.Where I am required to do so by law.Where disclosure is necessary to protect someone from serious harm. Where appropriate and possible, I will aim to discuss this with you before sharing information.

10. Google Meet and Google Calendar:

 

Online coaching sessions are held using Google Meet. Appointments are arranged using Google Calendar invitations. Your name, email address and appointment details may therefore be processed through Google's services in order to arrange and deliver your coaching sessions. Google may process information in accordance with its own privacy and security policies.

11. Payments

 

Payments for coaching services are currently made by bank transfer. I may retain relevant payment and transaction information for accounting, tax and business administration purposes. I do not process or store payment card details.

12. How Long I Keep Your Information

 

I will not keep your personal information for longer than is reasonably necessary. How long information is retained will depend on the type of information and why it was collected. Enquiries: Information relating to general enquiries may be retained for a reasonable period in case you wish to continue your enquiry or become a client. Coaching records Coaching notes and relevant client records will be retained for an appropriate period after coaching has ended, taking into account the nature of the coaching relationship, professional responsibilities and any legal requirements. Financial and business records: Financial and payment records will be retained for the period required by applicable UK tax and accounting requirements. Marketing information If you have agreed to receive marketing communications, your information will be retained until you unsubscribe or ask me to stop contacting you, unless there is another legitimate reason for retaining it. When information is no longer needed, I will securely delete or dispose of it.

 

13. Keeping Your Information Secure

 

I take reasonable steps to protect your personal information. This includes, where appropriate: Using password-protected devices and systems. Keeping coaching notes securely stored.Limiting access to personal information.Using reputable service providers.Keeping business systems updated where appropriate.Taking reasonable steps to protect information from unauthorised access, loss or misuse. While I take appropriate care to protect your information, no method of electronic storage or online communication can be guaranteed to be completely secure.

14. Your Rights

 

Under UK data protection law, you may have rights relating to your personal information. These may include the right to: Request access to the personal information I hold about you. Ask for inaccurate information to be corrected. Ask for your information to be erased in certain circumstances. Ask for the use of your information to be restricted in certain circumstances. Object to certain types of processing. Request the transfer of certain information to another organisation where applicable. Withdraw consent where I rely on your consent. My coaching services are primarily designed for adults unless a specific service has been agreed otherwise. Where services involve young people or family members, I will take appropriate care when handling their personal information. Where consent or parental responsibility is required, appropriate arrangements will be made.
